E-mail Backup & Recovery

Your mailbox is a business record

For most businesses, the mailbox is the real archive. Quotes, agreements, supplier terms, the message confirming what was actually promised in March. Losing it is not an inconvenience — it’s losing the paper trail.

And it’s more exposed than people assume. Microsoft 365 and Google Workspace keep your mail running; that is not the same as keeping a backup of it. Delete a mailbox, or lose an account to an attacker, and the provider’s obligation to you is thinner than you’d hope.

If it’s your personal e-mail

Years of correspondence, tickets, receipts and photographs sit in an account protected by one password. If that account is taken, recovery can be slow and occasionally impossible.

Two things solve most of this: two-factor authentication so it’s hard to lose, and a local copy so losing it isn’t catastrophic. We’ll set up both, and help with the recovery process if an account has already been compromised.

If it’s your business e-mail

Beyond protection, there’s continuity and obligation. If a member of staff leaves, their mail is still a company record. If a dispute arises, you may need messages from three years ago. If you’re audited, it was in her mailbox is not an answer.

We also handle migrations — moving from a host’s basic mail to Microsoft 365 or Google Workspace, or between providers — with the full history intact, folders preserved, and no gap where mail silently vanishes.

What’s included

  • Mailbox backup for Microsoft 365, Google Workspace and standard providers
  • Searchable archiving, so old mail is findable without cluttering the mailbox
  • Recovery of deleted or lost messages, where the provider still allows it
  • Mailbox migration between providers, with folder structure and history preserved
  • Domain e-mail setup — professional addresses on your own domain
  • Leavers’ mailboxes: archived, access transferred, licence released
  • SPF, DKIM and DMARC configured so your mail reaches inboxes rather than spam
  • Compromised account response: lock out the attacker, assess what was reached, restore access

Microsoft 365 is not a backup

They keep the service running. Recovery beyond their deletion window is your responsibility, not theirs.

Migrations without a gap

Mail keeps flowing throughout, history and folders preserved, nobody sits without e-mail for a day.

How it works

  1. What’s in there, and where? Provider, number of mailboxes, how far back the history goes.
  2. Protect it. Backup running, two-factor on, recovery route confirmed.
  3. Migrate if needed. Done in stages with mail flowing throughout.
  4. Confirm it restores. A backup nobody has restored from is not yet a backup.

Questions people ask

Doesn’t Microsoft or Google already back up my e-mail?
Not in the way you need. They keep the service running and offer limited deletion windows. Beyond those, recovery is your responsibility — this surprises almost everyone.

Can you recover mail I deleted months ago?
Sometimes, depending on provider and settings. The sooner you ask, the better the odds. With a backup in place, it’s certain rather than hopeful.

Will we lose mail during a migration?
Not if it’s staged properly. Mail continues to flow throughout, and history is copied and verified before the switch.

Someone got into our e-mail account. What now?
Contact us immediately, whatever the hour — a compromised mailbox is one of the few things we treat as an out-of-hours emergency. Speed matters, because attackers commonly set forwarding rules that keep them reading your mail long after you’ve changed the password.
